Roles and responsibilities of our leadership and committees

The Board of Directors focuses on the Association’s purpose and facilitates its programs and activities through planning, higher level decision making, and oversight that also maintains financial viability and ensures appropriate use of funds.

The President shall:

  1. Preside at Board and General meetings of the Association and be responsible to the members for the efficient and accountable actions of the Association.

  2. Serve as ex-officio member of all committees except the Nominating Committee.

  3. Appoint one member to the Nominating Committee.

  4. Appoint an auditor, if needed on a periodic basis, with the approval of the Board of Directors, who shall audit the financial accounts of the Association and report to the Board and Membership by the April meeting each year.

  5. Receive and disburse Association funds in the absence of the Treasurer.

  6. Appoint a Newsletter Editor, who shall be responsible for the publication and distribution of the Association newsletter.

  7. Appoint such committees, task forces, and/or designated Association members necessary for the operations of the Association.

The Vice President shall:

  1. Preside at Board and General meetings in the absence of the President.

  2. Send, receive, and respond to official Association correspondence as needed, including monitoring and responding to the Association’s email communications (bcmgvat@gmail.com).

  3. Perform other duties as requested by the President.

  4. Work alongside the President with the goal of becoming President the following year.

 The Recording Secretary shall:

  1. Provide Board meeting minutes and General meeting minutes to be reviewed by the President and/or Vice President and then provide to the Board and Membership.

  2. Perform other duties as requested by the President.

The Treasurer shall:

  1. Serve without bond to keep financial records of the Association.

  2. Receive and disburse funds on behalf of the Association. Any non-budgeted disbursal over $500 (by sub-total category) must be approved by the Board of Directors. Any non-budgeted disbursal over $1000 (by sub-total category) must be approved by the Board and the Membership. (See Sections VI. 3 and VIII. 1 and 2.)

  3. Provide Treasurer's report at Board and General meetings.

  4. Perform other duties as requested by the President.

The incoming President will have the opportunity to appoint Chairs to the Standing Committees. Standing Chairs and Co-Chairs are voting (1 vote) members at Board meetings.  Anyone interested in filling a vacancy can contact the current chair or any Board member to volunteer or obtain more information.  

The Botanical Demonstration Garden Committee will consist of Association members and Extension staff. Members of the committee will be volunteers or appointed by the President. Meetings will take place as needed and minutes will be taken. The committee will report to the Board and the Membership every month.        

  1. The committee will work with Extension personnel to provide a long-term vision for the Botanical Demonstration Garden. 

  2. The Botanical Demonstration Garden will be for the display, education, study, and understanding of plants that thrive in southeastern coastal Carolina. 

  3. Plants will be labeled with common and scientific names for the certification process of professional landscapers as well as education of the public. 

The Public Events Committee leads our annual plant sale and coordinates multiple hands-on workshops throughout the year, with a dual mission to educate the public and generate financial support for meaningful local programs such as Habitat for Humanity, school gardens, scholarships, and our amazing Botanical Gardens.  Here is the description from our by-laws: The Plant Sale Committee/ Event Committee will consist of Association members and Extension staff. Members of the committee will be volunteers or appointed by the President. Meetings will take place as needed and minutes will be taken. The committee will report to the Board and the Membership every month.

  1. Association plant sales are educational as well as fund raising events for the organization. 

  2. The role of the Plant Sale Committee is to select plants for each sale, compile and distribute informational materials about plants being sold, prepare publicity, and maintain data on plants sold. 

  3. The plant sales will aid the Association’s mission of public education and outreach by answering customers’ gardening questions and providing online information about each plant for sale while striving to offer a plant selection and purchase experience different from that typically offered in the area.

The Education Committee will consist of Association member volunteers or appointed by the President. Meetings will take place as needed and minutes will be taken. The committee will report to the Board and the Membership every month. This is expected to be a committee that assists Extension with the educational aspects of teaching the students/interns for the new MG Class of 2026. Discussion is also taking place about including EMGV in all student classes (Tuesdays and Fridays 9-12) to help pave the way for a smoother transition from student to intern to MGV.    

  1. The Education Committee will collaborate and partner with Brunswick County Extension staff in formulating and participating in educational opportunities for Brunswick County Master Gardeners.

  2. The committee will oversee, plan, and implement other educational programs for Brunswick County Master Gardeners that meet Education Hours Standards set by the Extension Service and approved in advance by Brunswick County Extension staff. Such programs may include, but are not limited to:

    1. Providing speakers at monthly BCMGVA meetings;

    2. Providing specialty workshops for EMGVs;

    3. Organizing educational field trips; and 

    4. Assisting with Intern Onboarding at the request of Extension staff. 

The Outreach Committee will consist of Association member volunteers or appointed by the President. Meetings will take place as needed and minutes will be taken. The committee will report to the Board and the Membership every month. 

  1. The Outreach Committee will collaborate, help develop, and partner with Brunswick County Extension staff in formulating and participating in outward-facing projects/program opportunities for the public.

  2. All Outreach opportunities must be approved in advance by Brunswick County Extension staff.

  3. The Outreach Committee will review, recommend, and manage the Outreach Scholarship Program (i.e., 4-H, Brunswick Community College scholarship funds).

The Propagation Committee will consist of Association member volunteers or appointed by the President. Meetings will take place as needed and minutes will be taken. The committee will report to the Board and the Membership every month. 

  1. The Propagation Committee will establish best practice guidelines for all groups involved in plant propagation, provide training on propagation-related processes as needed, and conduct propagation activities to support both the organization and educational needs of the Association.

  2. Available resources will be considered when decisions are made concerning plant propagation activities.

Social Chair 

  • Pass around a sign-up sheet during the first few Association meetings of the year to have EMGs sign up for bringing snacks for the Monthly  Association meeting social time. 

  • Maintain the sign-up list and make changes/find someone else if called on by an EMG who realized he or she could not do the sign up date during the year as planned.

  • Make contact a couple of weeks prior to the date as a reminder to the two EMGs signed up for the upcoming meeting snacks. Emails available on directory for contact.

  • Set up two snack tables and help take them down and clean up
